Information you provide
Engage stores account details, a password hash, session records, workspace settings, contacts, survey definitions, responses, campaign drafts, follow-up tasks and enquiry messages. Account recovery codes are stored as hashes, not as readable codes. Passwords and API keys should never be included in enquiry messages or survey answers.
Why information is used
Information is used to operate your account and workspace, accept survey submissions, create requested campaign drafts, provide account recovery, reduce abuse and respond to enquiries. Authentication and essential session cookies are used to keep you signed in. This version does not add advertising trackers.
Workspace and survey access
Workspace records are associated with their account owner. Published survey questions can be viewed by anyone with the link. Survey responses are accessible in the survey owner’s workspace. An anonymous survey does not ask for a name or email; network information may still be processed by hosting infrastructure and abuse protection.
Email delivery and hosting
When you approve a campaign, recipient addresses, message content and sender details are processed by the CAQA mail service. Delivery records and opt-outs are stored in your workspace. The service runs on hosted infrastructure using a managed database. The deployment does not guarantee that all processing or storage occurs in Australia. Consult your organisation’s requirements before uploading sensitive information.
Your responsibilities as a workspace owner
Only collect and upload information you are authorised to handle. Explain the purpose of your survey and provide your own privacy notice in Settings. Keep consent and unsubscribe records current in your CAQA workspace.
Retention, access and requests
Records remain in the workspace until removed through supported controls or an authorised administrative request. Export tools are available for contacts and responses, with a workspace backup in Settings. For access, correction or deletion requests, use the contact form and identify the account or survey involved without including passwords. Published survey participants should contact the organisation named on their survey first.
